This policy explains what personal data GlasGrowth collects through our website, what we do with it, and your rights. We keep it short and plain. If anything is unclear, email us at [email protected].
1. Who we are
GlasGrowth Ltd is a UK marketing agency for window and door installers. In this policy, "we", "us" and "our" mean GlasGrowth Ltd.
- Registered in Scotland, company number SC777725
- VAT number GB517556280
- Registered address: 5 South Charlotte Street, Edinburgh, EH2 4AN
- ICO registration number: ZB734493
- Privacy contact: [email protected]
For the data in this policy, we are the controller. That means we decide how and why it is used.
2. Who this policy covers
It covers people who visit glasgrowth.co.uk, fill in a form on it, or book a call with us. That includes our installer page at glasgrowth.co.uk/installers and our growth plan calculator at glasgrowth.co.uk/growth-plan.
If you are a homeowner who enquired with one of our clients, see section 11.
3. What we collect
Details you give us
- Your name and business name
- Your email address and mobile number
- Your business postcode
- Your answers to our short questions: how many extra installs you want a month, your typical install value, and your monthly sales band
- The time you book for a call, and anything you tell us before or on that call
- Your replies to the few questions we send after you book
Details we collect when you visit
- Which version of our page headline you saw. We test different headlines to see which works best.
- Where you came from, for example a link tagged as Instagram or Meta
- Basic technical data from cookies and similar tools, such as your device, browser and pages viewed (see section 9)
We do not ask for sensitive data such as health or religion. Please do not send it to us.
4. How we use it and why we are allowed to
UK data protection law says we need a lawful reason (a "lawful basis") for each use. Here is ours.
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry, book your call and send your confirmation | Steps you asked for before a possible contract |
| Prepare your growth plan call, using your answers and postcode | Steps before a possible contract, and our legitimate interest in giving you a useful call |
| Check if we already work with an installer in your area | Legitimate interests. We limit how many installers we work with in each area, so we need to check before we talk. |
| Send you a few questions by WhatsApp or text after you book, and follow up about the call | Steps before a possible contract, and legitimate interests |
| Measure which ads, links and headlines bring enquiries | Consent, where cookies or similar tools are used. Legitimate interests for basic measurement that does not need cookies. |
| Keep records, deal with complaints and meet legal duties | Legal obligation and legitimate interests |
Where we rely on legitimate interests, we have weighed our interests against yours. You can object at any time (see section 8).
We do not sell your data. We do not make decisions about you that have legal or similar effects without a person involved.
5. Who we share it with
We use trusted suppliers to run our business. They only use your data to provide their service to us, under a contract.
- HighLevel (LeadConnector): our CRM, where your details and call booking are stored. It also sends our booking confirmations and messages.
- Google: our booking calendar is linked to Google Calendar.
- Supabase: the database behind our own dashboard, hosted in the EU.
- Vercel: hosts our dashboard, which passes your form details to our CRM.
- Meta (Facebook and Instagram): the Meta Pixel tells Meta when a page is viewed, an enquiry is made and a call is booked. This helps us measure and improve our ads. See section 9.
- Microsoft Clarity: shows us, as a heatmap and as recordings of visits, where people click and scroll on our website, so we can make it easier to use. It only loads if you tap Accept. It hides what you type into forms. See section 9.
- Wistia: hosts the videos on our website and tells us how much of each video is watched. It only uses cookies if you tap Accept. See section 9.
- Fathom: records and transcribes our video calls so we can focus on you, not on taking notes. It joins the call as a notetaker, so you will see it on screen.
- postcodes.io: a free UK postcode lookup. We send it your business postcode only, to find the area.
- WhatsApp (Meta) and text messages: the questions and reminders about your call are sent from HighLevel, through WhatsApp or by text.
We may also share data with our professional advisers, such as our accountant or lawyer, or where the law requires it.
Our team members who run your call can see your details. They are bound by confidentiality.
6. Transfers outside the UK
Some of our suppliers, including HighLevel, Meta, Microsoft and Wistia, are based in the United States. Some of your data may be processed there or in other countries.
When that happens, we make sure there is a safeguard recognised under UK law. That can be the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum. You can ask us for more detail on the safeguard used for a supplier.
7. How long we keep it
| Data | How long |
|---|---|
| Enquiries and prospects who do not become clients | 24 months from our last contact, then deleted |
| Clients | For as long as you are a client, then 6 years after the contract ends, for tax and legal reasons |
| Call recordings and notes | 12 months, unless you become a client |
| Cookie and pixel data | As set out in section 9 and by Meta's own terms |
| If you ask us to stop contacting you | We keep only your name and contact details on a suppression list, so we do not contact you again |
8. Your rights
Under UK GDPR you have the right to:
- ask for a copy of your data
- ask us to correct it
- ask us to delete it
- ask us to limit how we use it
- object to us using it, including for marketing. If you object to marketing, we will stop.
- ask us to send it to you or another company in a usable format
- withdraw your consent at any time, where we rely on consent
To use any of these rights, email [email protected]. We will reply within one month. It is free in most cases. We may ask you to prove who you are first.
You can stop our messages at any time. Reply STOP to a text, or tell us by email.
9. Cookies, the Meta Pixel, heatmaps and video stats
Cookies are small files saved on your device. We and our suppliers use them and similar tools on our website.
- Essential: needed for the page, form and booking calendar to work. These are always on.
- Measurement and advertising: the Meta Pixel. It tells Meta when you view a page, send an enquiry or book a call. Meta may link this to your Facebook or Instagram account. We use it to see which ads work and to show our ads to people more likely to be interested.
- Website improvement: Microsoft Clarity. It records how you move around our pages (clicks, scrolling and taps) so we can see which parts work and which confuse people. It hides what you type into forms. Microsoft may also use this data to improve its own products, as set out in its privacy statement.
- Video stats: Wistia. It counts how much of each video is watched, so we know which videos help. Without your consent it does this without cookies. If you tap Accept, it may also use cookies to recognise a repeat viewer.
We only load the Meta Pixel and Microsoft Clarity, and only let Wistia use cookies, if you tap Accept on the cookie bar at the bottom of the page. To change your choice, clear this site's data in your browser and we'll ask again. Blocking cookies may stop some parts of the site working.
When you send your details or book a call, we also tell Meta about it from our own server, using a scrambled (hashed) copy of your email and phone number. This puts no cookie on your device. It helps us see which ads bring enquiries. We do this because we have a legitimate interest in knowing which of our ads work.
You can also manage how Meta uses your data in your Facebook or Instagram ad settings.
We also note which headline you saw and the link tag you arrived with (for example, src=instagram). This is saved with your enquiry so we know where it came from.
10. Keeping your data safe
We limit access to people who need it. We use suppliers with strong security, password protection and encrypted connections. No system is perfect, but if something goes wrong we will act quickly and tell you and the ICO where the law requires.
11. Homeowners who enquire with our clients
We run adverts and booking for window and door companies. If you are a homeowner who filled in one of their forms, the window and door company is the controller of your data. We handle it on their behalf, as their processor, and only on their instructions.
For questions about that data, or to use your rights, please contact the company you enquired with. If you contact us, we will pass your request to them.
12. Complaints
If you are unhappy with how we use your data, please tell us first at [email protected]. We will try to put it right.
You can also complain to the Information Commissioner's Office (ICO), the UK data protection regulator:
- Website: ico.org.uk/make-a-complaint
- Phone: 0303 123 1113
13. Changes to this policy
We may update this policy. We will change the date at the top when we do. If a change is important, we will tell you where we can.
